Office Procedures - Level 2

COURSE INTRODUCTION:-

This course teaches the participant skills relevant to that of an Administrative Assistant or equivalent.

The course covers a variety of topics as it simulates an office environment and challenges the students with tasks which they would typically perform. The participant will develop an understanding of the various levels of management and applicable responsibilities for each level. The participant learns about the various forms used in an office and how to fill them out.

We include a section on organizing their workspace, planning work and the use of a scheduling system to plan an event. Participants will learn about reprographics, how to prepare for a meeting, what procedures are involved in a meeting and necessary travel arrangements. As a final exercise, the participant will work through a simulation of a typical day at the office practicing everything learned during the course. Questions are included to measure progress.

COURSE CONTENT:

Lesson 1: The Office and its Organization - Structure of a Company including Officers; Management; Support Staff and Departmental Functions

Lesson 2: Business Forms - Purchasing - Business Forms; Purchasing Forms; Completing a Purchase Order and Purchase Requisition.

Lesson 3: Business Forms - Invoices, Credit Notes and Statements - How to Complete an Invoice; Credit Note and Statement of Account.

Lesson 4: The Well-Organized Workstation - Components of a Typical Workstation; The Stationery Cupboard.

Lesson 5: Reminders, Scheduling and Work Planning - Reminder; Follow-up or Tickler Systems; Using a Desk Diary; Planning Your Day; The Executive’s Incoming Mail; An Administrative Assistant’s Typical Day; Handling Pressure.

Lesson 6: Reprographics - Photocopiers; Sizes and Features of Copiers; Use of Reprographic Machines; Controls; Illegal Copying.

Lesson 7: Event Planning - Preliminary and Final Stages of Planning; Making Detailed Plans; Organizing a Dinner Meeting.

Lesson 8: Meetings - Preparations for the Meeting; Making Arrangements; Agenda; Procedures of a Meeting; Taking Notes and Preparation of Minutes.

Lesson 9: Travel Arrangements - Planning an Itinerary; Financial Arrangements; Resource Materials for the Traveler; Expense Report.

Lesson 10: A Day at the Office.  

COURSE NOTES:-

Course manual is provided for ongoing reference.

Upon completion of this course there is a final exam.

Participant who achieve 75% or higher will receive certificate.
